Distribution list management

Your distribution list was out of date the day IT built it.

Every hire, promotion, transfer and exit changes who should get your message. ChangeEngine builds your audiences straight from your HRIS, so they update themselves. No IT tickets, no spreadsheets, no hoping it landed. Managers hear it first, and every employee gets it 1:1 on the channel they actually read.

Syncs with Workday, ADP, UKG, Dayforce, Rippling and 75+ HRIS · Email, Teams, Slack, SMS and WhatsApp
Why distribution lists break

Every list is a snapshot of an org that already changed

HR and Comms teams describe it the same way on almost every call: the list lives in Outlook, IT owns it, and nobody can say who's actually on it. So you hit send and hope.

By ticket

Every change waits in IT's queue

A new hire or a promotion means a ticket to IT. The list gets fixed when the ticket gets picked up, sometimes weeks later.

By spreadsheet

Cascades get rebuilt by hand

Leaders first, then every manager with direct reports. Someone exports from the HRIS, splits it in Excel and pastes it into Outlook in batches.

By handoff

Half the team never had an inbox

Field and shift teams don't have work email, so the message gets forwarded to a supervisor and, if you're lucky, read out at the start of a shift.

One promotion, two weeks

What happens when a manager gets promoted on a Monday

A typical two weeks with IT-managed lists. Swap in a new hire, a transfer or a site that just opened.

Monday, 9am

Promoted in the HRIS

Priya moves up to shift supervisor. Workday knows. Outlook doesn't.

HR
Monday, 10am

Ticket filed

HR asks IT to add her to the supervisors list and take her off the crew list.

HRIT
Wednesday

Supervisor update goes out

Talking points for a benefits deadline go to the supervisors list. Priya isn't on it.

Comms
Thursday

Her team asks her about it

Twelve direct reports have questions. She's hearing about it for the first time, from them.

Manager
Day 9

"I never got that"

Comms re-sends by hand to the people who spoke up. Nobody knows who didn't.

Comms
Day 14

List updated

The ticket closes. The message it was needed for went out 11 days ago.

IT
With ChangeEngine, steps two through six never happen: the supervisors segment picked Priya up from Workday the day she was promoted, and her talking points arrived on Wednesday with everyone else's.

How it works

Segments that update themselves

01

Connect your HRIS

Workday, ADP, UKG, Dayforce, Rippling and 75+ more. IT approves the connection once, then steps out of the list business.

02

Build a segment from any field

Department, location, job title, manager, start date, language, employment type. Preview exactly who's in it before you send.

03

It stays current

Every hire, promotion, transfer and exit syncs from your HRIS. Your segments change when your org does.

04

Send it anywhere

Email from your own domain, Teams, Slack, SMS or WhatsApp. One audience, every channel.

Cascading communications

Managers hear it first. Then everyone hears it from you.

Your supervisors have email or Teams. Most of their teams don't. Today that means forwarding a message and hoping it gets read out at the next shift huddle. ChangeEngine sends managers the talking points first, then sends the same update 1:1 to every direct report by text, WhatsApp, Teams or email. Nothing gets lost in the retelling.

✓Manager-first timing, built from the reporting lines in your HRIS
✓Every employee gets a personal message, not a forward
✓Managers see who on their team hasn't opened it
✓Automatic follow-ups to anyone who missed it, on a different channel
For managers

No manager finds out from their own team

The worst version of a cascade is the manager caught like a deer in headlights. Sequence it so they're the first to know, not the last.

The day before

Talking points land first

Each manager gets the update, a one-page FAQ and a preview of what their team will see, before their team sees it.

The day of

Every report gets it 1:1

Personalized by name, role, site and language, and sent on the channel each person actually reads.

The day after

Gaps, not guesswork

Managers get a short list of who hasn't opened it yet, while automatic follow-ups go to those same people.

The options

Three ways to keep a list current. One was built for HR.

IT-managed lists

Accurate the day they're built

Every change is a ticket. HR can't see who's on the list, and nobody finds the gap until someone says they never got it.

Dynamic groups in Outlook

Fine, if your directory is perfect

They rebuild from directory fields on a refresh cycle. A field that doesn't match what HR keeps quietly drops people, and it's still email only.

ChangeEngine segments

Built from the HRIS itself

The fields HR already trusts, synced automatically, previewed before every send, and usable on every channel, including for people with no inbox.

FAQ

Distribution list questions, answered

Does ChangeEngine replace our Outlook distribution lists?

For HR and Comms sends, yes. Segments are built from your HRIS and update on every sync, so nobody maintains lists by hand. IT can keep its own lists for everything else.

Which fields can we segment by?

Any field you share from your HRIS: department, location, job title, manager, start date, language, employment type and custom fields. There's no limit on the number of segments.

What happens when someone joins, moves or leaves?

The next HRIS sync updates every segment they belong to. A start date can also trigger an onboarding journey automatically.

How do cascades reach people without a work email?

Managers get the update and talking points first. Then each direct report gets their own message by text, WhatsApp, Teams or personal email, using the contact details in your HRIS.

Will employees know we're using a new tool?

No. Messages come from your own email domain and senders, in your branding. Nobody downloads anything or logs in.

Can we see who actually got it?

Yes. Delivery, opens and clicks by person, team, manager and site, plus automatic follow-ups for anyone who hasn't opened it. For SMS we track delivery, not reads.

What does IT need to do?

Approve the HRIS connection and SSO. ChangeEngine is SOC 2, ISO 27001 and GDPR compliant, and only reads the fields you choose to share.
