Employee Connections: Replace the Manual HR Relay

Employees depend on managers, HR, IT, and other people throughout their time with your organization. This article explains how connections use employee data to send each of those people the right communication, replacing the manual HR relay from offer acceptance through offboarding.

Employee Connections: Replace the Manual HR Relay

Connections replace the manual HR relay by using the employee as the subject, identifying their manager, HR person, IT contact, or other support person from data in ChangeEngine, and sending each connection its own communication. The same logic reaches the right people at the right time from offer acceptance through offboarding.

There is always someone an employee needs to go to. That person may help with growth, timesheets, paperwork, policy guidance, expenses, computer setup, or email setup.

What Counts as a Connection?

A connection is any person an employee needs to reach for help or guidance. They may be someone the employee reports to directly or someone who supports one part of the process.

  • A manager for growth, timesheets, and support
  • An HR person for paperwork, policies, and expenses
  • An IT contact for computer and email setup

How Do Connections Replace the HR Relay?

Connections replace the HR relay by sending each supporting person their own communication. Without connections, HR emails IT with the new hire's information, then emails the manager with everything they need to get the person started.

The manual version also has HR chase recruiter contact details and repeat the work for every hire and region. With the new hire as the subject, ChangeEngine finds their manager, HRBP, or IT contact from its data and sends each connection its own message automatically.

In the send setup, Connection of a Person sends a direct message to the connections of a person in a segment. That removes the need for HR to relay those details by hand.

One Connection Logic From Offer Acceptance to Offboarding

The same connection logic can run from the moment a candidate accepts an offer letter through offboarding. It communicates with the right people at the right time, whether the recipient is a direct manager or someone who facilitates one part of the process.

For new starters, the send setup can select Manager or Manager's Manager as the connection for the New Starters (incl. upcoming) segment. A start-date timeline example schedules a welcome communication 14 days before the start date.

You set the logic up once in a few clicks. When the required data is in ChangeEngine, no one is missed at any part of the employee lifecycle.

Frequently asked questions

What is a connection in ChangeEngine?

A connection is a person an employee or HR needs to involve at a specific point. It can be a direct manager, HR person, IT contact, manager's manager, or another person who supports growth, timesheets, paperwork, policy guidance, expenses, computer setup, or email setup.

How does ChangeEngine identify the right connection?

ChangeEngine uses the employee as the subject and the data held in ChangeEngine to identify the relevant connection. The communication then goes directly to that person, rather than HR emailing IT or a manager with the employee's details and repeating that relay for each hire.

Can connections support the full employee lifecycle?

The same connection logic supports communications from the moment a candidate accepts an offer letter through offboarding. A communication can be tied to an event such as a start date, and one timeline example schedules a welcome communication 14 days before that date.
